Job Specifics

Duties Description The Administrative Assistant 2 will provide the administrative support to the Associate Commissioner and for the Division of Medical Informatics.

Specific duties include, but are not limited to the following:

• Coordinating larger meetings and engagements.

• Maintaining mail and assignment logs.

• Coordinating travel and project meetings for team leaders and core project teams.

• Acting as NYS DOH HCS coordinator for OMH.

• Preparing on-boarding/off-boarding requests for DMI staff.

• Processing requests through SFS including primary SFS liaison for DMI.

• Providing administrative oversight for DMI training (SLMS) and compliance.

• Ensuring maintenance and scheduling of DMI fleet vehicles.

• Acting as liaison among staff within the Office for OMH administrative functions.

• Preparing and/or assisting in preparation of various reports for the Office.

• Preparing various letters, memorandums, etc. for the Office.

• Preparing meeting materials, slide decks, and presentations.

• Miscellaneous clerical, administrative, and project coordination tasks as needed.

• Coordinate Personnel activities including orientation, mandated and in service training and support to new and existing staff regarding policies, equipment, software, travel, time and attendance, schedules, car scheduling and maintenance.

Minimum Qualifications Current NYS employee with permanent or contingent-permanent status as an Administrative Assistant 2, SG-15; OR current NYS employee with one year or more of permanent or contingent-permanent service in a title at or above G-13 and eligible to transfer under Section 70.1 of the Civil Service Law.
