Duties Description

The Department of Financial Services is seeking candidates for the position of Office Assistant 2 Stores/Mail in Office Services & Facilities Management. Duties include, but are not limited to, the following:

• Receives, processes, sorts, tracks, and distributes incoming and outgoing mail, including USPS, overnight deliveries, certified mail, and electronic package processing using departmental tracking systems;
• Prepares mailings and documents for distribution, including operating mailing and folder/inserter equipment, assisting staff with mailing needs, and determining appropriate mailing methods;
• Maintains inventory and distribute office supplies, process supply orders, and coordinate with vendors and delivery services to support daily operations;
• Generates reports, maintain records, and utilize departmental systems to track data, process requests, and submit maintenance work orders;
• Provides administrative and operational support to Office Services and Facilities Management, including vendor coordination, records retention activities, and other assigned projects;
• Assists with the maintenance and support of office equipment, including copiers and printers, and provide basic troubleshooting and toner replacement; and
• Supervises subordinate staff as assigned and complete required training and other duties in support of departmental operations.

Minimum Qualifications Appointment Method:

List Appointment: Candidates must be reachable on the Civil Service eligible list for 38-694010

Transfer: Candidates must have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law. Information regarding transfer eligibility may be available on the Civil Service Career Mobility Office website.

Please note that under Civil Service Law, an employee cannot have two consecutive upward 70.1 or 52.6 transfers without an intervening eligible list appointment if such transfers would exceed two salary grades.

Minimum Qualifications: One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.

NY HELPS: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply (see minimum qualifications above). At this time, agencies may recruit and hire employees by making permanent non-competitive appointments. At a future date (within one year of appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Promotional: one year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher.

Non-Competitive Promotion (NCP): In accordance with Section 52.7 of the Civil Service Law, if the number of qualified candidates who apply for the position is three or less, a permanent appointment can be made, at agency discretion, by non-competitive promotion of an applicant who meets the minimum qualifications.
