Job Specifics

Duties Description The Director of Operations provides high-level executive and operational support while overseeing select operational service functions on behalf of Executive leadership. The position serves as a key liaison across program areas and ensures the coordination and execution of executive priorities though operational oversight, supervision of designated operational functions, and financial oversight and coordination.

This role includes supervision of information technology (IT) and facilities operations. The incumbent exercises independent judgment in managing priorities, resolving operational issues, and ensuring alignment and executive directives.

Responsibilities:

Executive Support
Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, and correspondence
Prepare and review reports, presentations, and briefing materials
Coordinate communications and follow-up on behalf of Executive leadership
Track and ensure completion of executive priorities and assignments

Operational Coordination
Oversee select operational service functions as assigned by Executive leadership
Ensure alignment of operational activities with executive priorities and Agency needs
Monitor performance and service delivery across assigned functional areas
Identify operational issues and recommend solutions to Executive leadership

IT & Facilities
Provide supervisory oversight and direction of IT, facilities operations, and the Assistant Office Services Manager
Direct the work of staff and oversee service delivery within these functional areas
Monitor workload, performance, and operational effectiveness
Coordinate with internal stakeholders and external vendors
Ensure operations align with Agency policies and executive priorities
Coordinate facility-related operations including maintenance, safety compliance, and vendor services
Monitor service needs and resolve operational issues impacting the work environment
Ensure coordination and effectiveness of facility, logistical, and support service functions through supervisory structure

Financial Coordination & Oversight
Monitor and track financial activities, including purchasing, contracts, and expenditures
Coordinate procurement processes and related documentation
Review transactions for accuracy and policy compliance
Coordinate and monitor budget tracking, reconciliation, and reporting
Analyze financial activity and identify trends, risks, or discrepancies and provide recommendations to Executive leadership

Meetings & Project Tracking
Coordinate Executive meetings and prepare supporting materials
Track action items and ensure follow-through on assignments
Support cross-functional initiatives as directed by Executive leadership

Minimum Qualifications Bachelor’s degree and a minimum of four (4) years of relevant experience in executive support, operations coordination, or financial/process support*

OR

Associate’s degree and four (4) years of relevant experience

OR

An equivalent combination of education and experiences as defined by Civil Service guidelines

*Substitutions: four years of specialized experience or associate’s degree and two years of specialized experience may substitute for bachelor’s degree; J.D. or master’s degree may substitute for one year of specialized experience; Ph.D. may substitute for two years of specialized experience

Additional Comments Preferred Qualifications:

Experience supporting executive leadership
Experience coordinating IT, facilities, or financial processes
Knowledge of procurement and budget procedures
Strong organizational and analytical skills
Excellent written and verbal communication

Telework may be available 5 out of 10 days per pay period. Subject to current policies and procedures, along with Supervisor approval.
