Job Specifics
Duties Description The New York State Education Department’s (NYSED) Office of the Professions is seeking candidates for an Administrative Assistant 2 position in the Office of Professional Discipline, Prosecution Division. This position will provide the Office of the Professional Discipline, Prosecution Division with high-level administrative staff who can provide support to the prosecutors and division as a whole with a greater deal of independence, skill, and judgement. The incumbent of this position will be responsible for coordinating the administrative flow and completion of cases including but not limited to the following:
• Mail correspondence on behalf of individual prosecutors and/or the division;
• Manage and coordinate the mailing and signature of various parties for settlement agreements;
• Manage and follow up on correspondence for prosecutors and the division;
• Ensure timely submission of completed cases for final BOR review;
• Mailin and distribute assigned cases to appropriate prosecutors or staff;
• Coordinate with downstate administrative staff and relevant investigations support staff regarding invoices and any billing matters related for the division;
• Coordinate and maintain approved expert witnesses for all professions, ensuring all approval paperwork is kept up to date; and
• Maintain electronic files for prosecutions.
Minimum Qualifications COMPETITIVE MINIMUM QUALIFICATIONS:
Reassignment: Candidates must have one year of permanent competitive or 55b/c service as an Administrative Assistant 2.
Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter. You must complete and return it as instructed on the letter.
Section 70.1 Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-13 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must be a current New York State Education Department employee AND have one year of permanent competitive of 55b/c service as an Administrative Assistant 1, Administrative Assistant 1 (French Language), Administrative Assistant 1 (Russian Language), Administrative Assistant 1 (Spanish Language), Administrative Assistant Trainee 1, Administrative Assistant Trainee 1 (French Language), Administrative Assistant Trainee 1 (Russian Language), Administrative Assistant Trainee 1 (Spanish Language), Administrative Assistant Trainee 2, Administrative Assistant Trainee 2 (French Language), Administrative Assistant Trainee 2 (Russian Language), Administrative Assistant Trainee 2 (Spanish Language), Examination Composition Assistant, Law Department Document Specialist, Office Assistant 2-Keyboarding, Office Assistant 2-Keyboarding (Spanish Language), Secretary 1, or Secretary 1 (Spanish Language). Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered, and must be reachable on the resulting eligible list to maintain employment.

Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent, competitive appointment or temporary provisional appointment. Provisional candidates must take the examination for this title when it is next offered and must be reachable on the resulting eligible list to maintain employment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits.
This position allows for the opportunity to telecommute up to 30% each bi-weekly pay period and is granted at the discretion of the supervisor and the appointing office.
This position leads to a maximum salary of $75,686 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts
