Job Specifics
Minimum Qualifications Candidates must be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent competitive service in a qualifying title within two salary grades of this position. Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 35 words per minute corrected) as demonstrated by passing the Keyboard Specialist performance test. Duties Description The Office of Mental Health (OMH) is currently recruiting to fill a Secretary 1, Grade 11, position. This position is located in the Center for Human Resources Management, Bureau of Central Office Personnel Services (COPS). The incumbent will perform the full range of secretarial duties in support of Bureau operations. Specific duties include, but are not limited to, the following:
• Provide the full range of secretarial support: prepare draft correspondence, correct and format draft documents, proofread documents for grammatical and typographical errors.
• Receive, review and distribute incoming mail. Review and distribute outgoing correspondence, making sure that appropriate protocols are followed. Screen incoming mail for assigned COPS staff.
• Use various computer applications to prepare documents and reports and track data/processes as requested.
• Answer routine and complex telephone calls and inquiries. Forward telephone calls to appropriate staff, and screen visitors.
• Arrange and schedule meetings, conferences and training for assigned COPS staff.
• Research and produce background materials (attachments, charts, etc.) for various projects.
• Maintain the COPS filing systems along with other COPS support staff.
• Reconcile and submit travel and purchasing requests in the Statewide Financial System (SFS).
This position is ideally suited for individuals who are highly motivated and organized, are able to work well both independently and as part of a team, are able to multitask, possess good customer service skills, and enjoy a busy, challenging and creative work environment. Candidates who have experience with, or who have an interest in learning, MS Word, Outlook, Access, Excel, PowerPoint, Visio and Adobe Acrobat are encouraged to apply.
