Job Specifics

Minimum Qualifications Permanent service in this title, or one year of permanent competitive or 55-b/c service in a title SG-7 or higher and otherwise eligible for transfer under Civil Service Law, or reachable on the current Civil Service eligible list for this title.

Preferred Qualifications: Ability to work independently and as a team member with strong attention to detail and accuracy along with strong mathematical skills; good verbal and written communication skills; familiarity with Oracle Financial Management System and the Statewide Financial Systems (SFS) is preferred.

Duties Description The Office Assistant 2 (Calculations) is responsible for auditing and processing local assistance grant vouchers, ensuring that only allowable expenditures are reimbursed in accordance with a contract's terms and conditions. Duties will include, but are not limited to:

• Processing of state and federal local assistance performance and expenditure based voucher claim packages for DCJS and hosted agencies as appropriate;
• Ensuring proper accounting techniques and DCJS and Office of the State Comptroller (OSC) guidelines are utilized and adhered to during processing;
• Reviewing and processing fiscal reports for state and local spending;
• Assisting with programmatic aspects and payment processing to grantees for a Special Local Assistance Program;
• Conducting a review of Minority and Women-Owned Business Enterprises (MWBE) transactions/vouchers associated with contracts containing Appendix M as pre-established procedures;
• Communicating verbally and in writing with grantees, Office of Program Development and Funding (OPDF) and other finance staff regarding issues and/or problems with audit claim packages;
• Processing disencumbrances accurately and timely and according to established procedures;
• Performing administrative tasks related to certain funded programs, as assigned;
• Processing audited vouchers into Oracle Financial System (OFS) based on established procedures ensuring prompt reimbursement to the grantees;
• Scanning approved contracts and certified voucher claim packages into 170 Systems, an electronic document storage system, ensuring automatic attachment within OFS, where appropriate; and
• Assisting in the training of new Office Assistants 1 and interns.
