Job Specifics

Minimum Qualifications Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1 or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment), Grade 9 with one year in service looking to do 70.1 two grade jump to grade 11, or be a former state employee eligible for reinstatement to the title of Secretary 1. May be filled from a mandatory reemployment list if one is in effect at the time of appointment..

Duties Description • Principal administrative support for the office
• Organize the flow of the office, suggest or implement new or revised office procedures
• Drafting letters, memos, reports for review, research and prepare responses to complex or unusual inquiries
• Monitor and track status of program activities
• Design, maintain, purge file systems (electronic and hard copy)
• Schedule meetings and maintain office calendars
• Travel Arrangements: coordinate travel arrangements, prepare travel vouchers for processing through Accounting
• Conference Planning: assemble and coordinate background materials for meetings / conference. As needed, attend conferences and provide written summaries of meeting conclusions
• Prepare reports using statistical and narrative information
• Supervise clerical staff / Assist with interview process / Assign work duties to subordinates / Track performance / Train and Review work to insure compliance
• Office Supplies: maintain and inventory office supplies, purchase supplies as needed
• Budgeting / Purchasing / Personnel: may handle routine budgeting, purchasing and personnel activities

Ideal opportunity for Grade 9 with one year in service looking for Promotion to Grade 11. Typing proficiency test will be given if necessary at SUNY.
