Job Specifics
Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.
Duties Description RESPONSIBILITIES:
Provides administrative support for both the Modern Languages and Cultures Department Chairperson and the Women and Gender Studies Director.
Provides administrative support for faculty in both departments.
Serves as department’s liaison with prospective students, current students, community and faculty.
Office management including access to online resources such as BANNER, BLACKBOARD and SMRT; processing of: faculty appointments, travel reimbursement forms, paperwork for equipment and supply purchases, service contracts and equipment repairs; copying class materials; collection and filing of course syllabi; distribution and collection of course evaluation forms; and assist with accreditation reviews/reports. Maintains records of key and property control.
Tracking of multiple departmental budget accounts and reconciling VISA statements.
Supervision and training of work-study office assistants and processing of their time sheets.
Maintains documentation of enrollment data; and course registration material for assistance with end of the year report completion.
Attend faculty meetings and record minutes.
PREFERRED QUALIFICATIONS:
Working knowledge of Microsoft Word and Excel and ability to use college online resources such as BANNER, SMRT and BLACKBOARD. Have excellent organizational skills, be able to multi-task, work independently and have excellent communication and interpersonal skills.
