Duties Description The Charities Bureau Fundraising Registration Section is responsible for the review of registration applications and/or fundraising contracts submitted by approximately 3,000 registered Professional Fundraisers, Fundraising Counsel and Professional Solicitors in accordance with Article 7A of the Executive Law. The Office Assistant 2 will assist with intake, review, processing, evaluation of records and preparation of notifications.
DUTIES:
-Answer telephone and email inquiries from registrants and the general public.
-Contract processing: Intake, log, scan and processing contract documents received into the Fund Raising Unit on a daily basis.
-Closing statement processing: Intake, log, scan and process closing statement documents received into the Fund Raising Unit on a daily basis.
-Miscellaneous document processing: Intake, log, and process various registration documents received into the Fund Raising Unit on an as-needed basis.
-Data entry: Enter data into FileNet for all contract-related documents. Use FileNet program to search information pertaining to Fund Raising Professionals and Charitable Organizations in order to identify documentation and answer inquiries by phone and email.
-Maintain document log: Enter incoming documents into document log for tracking and follow-up.
-Provide back-up and support to Office Assistant 2 and Secretary 1 in Fund Raising Unit as needs of office dictate.
-Assist Analyst in tracking filing and delinquencies/deficiencies.
-Assist Analyst with projects and follow-up in regard to the registration process as needed.
-Perform miscellaneous duties as assigned.
Additional Comments Office Assistant 2 is a promotional title. You must be a current or former NYS employee who is eligible to transfer or be reinstated to the Office Assistant 2 title or who is "reachable" on the Office Assistant 2 Civil Service list.
Some positions may require additional credentials or a background check to verify your identity.
