Job Specifics
Minimum Qualifications Qualifications: This is a contingent permanent position in the competitive jurisdictional classification. To be eligible for this position, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as an Office Assistant 1 (Keyboarding), SG-6, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.
Duties Description The State University of New York System Administration, located in Albany, New York, is searching for an Office Assistant 1 (Keyboarding), SG-6, for the Office for Capital Facilities. The duties include, but are not limited to, the following:
•Intake of mail, copying as needed and distribution to staff
•Filing and electronic documentation of file system
•Scheduling of meetings
•Typing of correspondence, formal letters and other documents
•Proofread and correct work to produce accurate, clean, and complete copy
•Use software packages, such as standard word processing, spreadsheet, electronic mail, data base management, desktop publishing, and integrated software packages.
•Prepare travel approval, reservations, and reimbursement documentation for OCF staff
•Provide backup support to reception desk greeter when needed. This includes monitoring and tracking visitors, directing staff and visitors, and answering the telephone.

•Ability to deal with employees and the public in a professional and courteous manner
•Confidentiality in matters of personnel, budget, etc.
•Use of good judgment when dealing with new or challenging situations
•Ability to produce electronic documents, such as emails, letters, memos, reports, charts, and forms, accurately and timely
•Knowledge of standard vocabulary, spelling, grammar, and usage
•Ability to use Microsoft Office programs and ability to learn new program functions and capabilities
