Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1 or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment), Grade 9 with one year in service looking to do 70.1 two grade jump to grade 11, or be a former state employee eligible for reinstatement to the title of Secretary 1.

Provisional Pending Exam:
One year of permanent competitive or 55-b/c service as a Keyboard Specialist 1, Keyboard Specialist 1 (Spanish Language), Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Law Department Document Specialist, Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), or Senior Data Entry Machine Operator
Candidates must be eligible to take and pass the next available Secretary 1 exam and obtain a reachable score for contingent / permanent appointment
May be filled from a mandatory reemployment list if one is in effect at the time of appointment..
Duties Description Provide administrative support for the Department of Communication Graduate, Honors and Undergraduate Programs in Communication and Journalism.
Assist the Chair and Administrative Manager with Departmental procedures and maintain a high degree of professionalism and efficiency in customer service in responding to telephone, email and walk-in requests. The ability to multi-task under pressure, maintain confidentiality and work in an organized manner while maintaining a professional and amiable manner, is required of this position. You are the first contact many students and their parents have with the Department so a pleasant interaction is important. Serve as the secondary Department liaison with all campus administrative offices including the following: the College Office, Graduate Studies and Graduate Admissions, Registrar, Human Resources, Facilities Management, Purchasing, Accounting, Summer Sessions, Mail Services, Rapid Copy, the Key Shop, Parking Management, Sodexo, Alumni Association and Undergraduate Admissions. There is an expectation for outstanding customer service and the building of positive working relationships. Working knowledge of software packages used for word processing, spreadsheet development and database management including Microsoft Word, Excel and PeopleSoft. Answer e-mails, phone calls and related correspondence in relation to policy or procedures and refer calls to appropriate faculty or staff member. Provide students, faculty and the general public with assistance regarding programs, policy and procedure. Liaison with other University offices and departments, assist in preparing Human Resources paperwork for departmental hires, schedule meetings and maintain calendars, assist with travel arrangements and prepare travel vouchers, assist with conferences; assemble and coordinate background materials for meetings and conferences, maintain inventory and requisition office supplies, maintain accounting records, supervise student staff
Ideal opportunity for Grade 9 with one year in service looking for Promotion to Grade 11. Typing proficiency test will be given if necessary at SUNY.
