Minimum Qualifications Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.

NY HELPS: Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.

A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.

The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Preferred Qualifications: Excellent organizational, written, and verbal communication skills and strong interpersonal skills. Knowledge of Department of Health and Health Research, Inc. policies and procedures. Proficient in Microsoft Office programs (Outlook, Word, PowerPoint, Excel, Access), arranging travel arrangements, scheduling meetings and answering phones. Proficient in using technology to assist staff with scheduled virtual meetings and conferences. Ability to work independently and as part of a team, prioritize workloads, multi-task, flexible and complete assignments within short timeframes.

Duties Description The Administrative Assistant 1 will provide office and administrative support for staff of the Bureau of Administration. Responsibilities will include: managing staff calendars on a day-to-day basis, providing administrative support to format and prepare reports and presentation materials; establishing and maintaining electronic and hard copy files, logs, and tracking systems; arranging travel arrangements and preparing related paperwork; scheduling in-person and virtual meetings and conference calls; compiling; prioritizing and distributing mail; maintaining an inventory of and ordering supplies; and answering and routing phone calls. Other responsibilities may include supervision of support staff and the oversight and completion of special projects as assigned.

Additional Comments Full-time, contingent permanent appointment. Transfer Candidates may be asked for their social security number to verify eligibility.

Position may be filled at a trainee level (equated to Grades 8 or 10), or Grade 11, depending upon the qualifications of the candidate.

This position is part of the NYS HELPS program. No examination is required.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
