Job Specifics
Duties Description The duties and responsibilities include, but are not limited to the following:
•Screening incoming calls, forwarding calls to the appropriate staffer using proper judgment, and taking complete messages when necessary
•Plan, organize, and schedule daily appointments and priorities, while anticipating any issues that may arise and identifying appropriate solutions
•Follow up with all parties (high-level officials, organizations, unions, advocates) to confirm meetings, appointments, and cancellations
•Order and replenish office supplies
•Conduct other duties as instructed and/or necessary in order to help keep the office performing at an efficient level in a high-speed environment
•Log in all incoming and outgoing mail and incoming telephone calls
Minimum Qualifications The New York State Senate is currently seeking energetic, astute, diplomatic, and dedicated individuals for multiple Administrative Assistant positions at the State Capitol in Albany.
Candidates must have the ability to work a flexible schedule that can include long hours, and nights in a highly dynamic environment.
Additionally, the ideal candidate will possess the following competencies:
•Professional and customer-focused attitude/approach
•Exemplary organizational skills and a focus on detail
•Ability to assimilate new information readily
•Strong interpersonal and verbal communication skills
•Ability to manage and prioritize multiple, time-sensitive tasks simultaneously
Minimum requirements include:
•1 year of scheduling experience
•1 year of administrative support experience
•Proficiency at Microsoft Office Suite, Microsoft Teams, Outlook, Google Docs, Google Calendar
•Valid driver’s license
•High school degree or equivalent
Additional Comments Salary range is $40,000 to $50,000, commensurate with experience.
