Job Specifics
Duties Description The Office for People With Developmental Disabilities (OPWDD) Enterprise Project Management Office (EPMO) is seeking a Program Aide to support key project and portfolio management functions. The program aide will work closely with project Managers and the EPMO Director to create and maintain key documents, take notes and summarize them, and coordinate and schedule key meetings. Additionally, the program Aide will ensure coordination across the EPMO, creating internal communications, coordinating EPMO Calendars and maintaining EPMO reports on projects.
Duties and responsibilities include but are not limited to:
·Maintain EPMO Project reports, including key project details (Health, status, phase)
·Facilitate internal meetings with EPMO staff, including preparing agendas and disseminating notes.
·Support Project Managers with documentation, including note taking.
·Responsible for scheduling, creating agendas, taking and summarizing notes for key project meetings.
·Support EPMO Processes related to portfolio management, including gathering updates maintaining process documentation, and assisting the Portfolio Manager as needed.
·Support EPMO Processes related to Project management, including updating project documentation, coordinating meetings and assisting the Project Manager as needed.
·Under the direction of a Project Manager, develop and maintain work plans, timelines, communications plan, presentations, and project governance.
·Develop, maintain, and distribute project status reports. This may also include reporting out on project status to stakeholders.
·Support with maintenance of project resource libraries.
·Support EMPO Team with hiring and onboarding processes, including scheduling interviews.
·Attend appropriate courses, conferences, forums, and webinars to advance knowledge and understanding in project management tools and techniques and learn about best practices.

Minimum Qualifications Candidates must be reachable for appointment on Current Civil Service Eligible List for this title.
OR
Transfer: Candidates must have permanent competitive status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
