Job Specifics

Duties Description • Answer calls and emails to the office, assisting customers with motor carrier related inquiries.

• Assist customers with operating authority applications, providing answers to routine questions.

• Provide operating authority applicants with statuses, updates, and documentation requests.

• Log/track public inquiries regarding operating authority and licensure matters; provide daily summaries of public inquiries to specialist staff.

• Intake public complaints regarding NYS-licensed truck/bus companies, entering complaint details and uploading relevant documentation.

• Assist Information Technology Liaison with submission/tracking of basic IT tickets.

• Intake physical items purchased for statewide program, update items' tracking records, and coordinate with field staff to ensure items reach their destination.

• Receive mail related to enforcement activity, route hearing matters to Office of Proceedings, route return-to-sender items to specialist staff, and process received checks/payments.

• Log motor carrier violation correction certifications and enter details of uncertified violations.

• Develop clerical procedures/instructions; compile and prepare data for reports/records.

• Assist with office purchasing needs and requirements; prepare and process Pre-Travel Authorization packages.

• Assist with additional ad hoc functions within the office, including serving as backup for daily/weekly office work.

• Responsibilities may include the supervision of other support staff.

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*

To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the minimum qualifications for this position. The qualifications are:

Promotional: One year of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.

Open Competitive: One year of clerical experience.

Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.

If there are three or fewer qualified candidates interested in appointment to this position a permanent appointment may be made pursuant to Section 52.7 of the Civil Service Law. To be eligible, candidates must be an employee of the Department of Transportation and have one year of permanent competitive service as a Office Assistant 1, SG-06.

Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
