Job Specifics

Duties Description he Department of World Languages and Literatures has major and minor programs in French and Francophone Studies, Spanish, as well as the language part of French and Spanish Education. We are a small department with one full-time French faculty and five full-time Spanish faculty. Class sizes are capped at 25 students. Key Responsibilities

Front Desk & Communication
Provide a professional, welcoming presence in the office.
Respond promptly and courteously to phone calls, emails, and in-person inquiries.
Coordinate communication between the department and other university offices.
Mail & Correspondence
Receive and distribute incoming mail and packages for department faculty.
Student Support
Provide guidance to work-study students and/or interns on routine tasks.
Academic & Departmental Administration
Process paperwork related to scheduling, course descriptions, book orders, and annual reports.
Support faculty in submitting course-related and administrative documents.
Maintain organized, up-to-date departmental records and files, including student records, syllabi, curriculum documents, and assessment materials.
Finance & Procurement
Collaborate with Procurement to monitor departmental expenses.
Process purchase orders and faculty travel requests (TRAs) accurately and in a timely manner.
Technology & Systems Management
Regularly use Banner and Argos to input placement/proficiency scores, manage course schedules, and access student information.
Use Campus Connection and EMS to reserve meeting spaces and coordinate department events.
Office & Resource Management
Ensure the supply cabinet is stocked and organized; notify Department Chair of supply needs and assist with related clerical tasks in the purchasing process.
Keep the department website current with relevant information and updates as directed.

Minimum Qualifications Competitive Qualifications:

The successful candidate must be reachable on the full-time, permanent Civil Service list for Office Assistant 1 (Keyboarding), have held the permanent title of Office Assistant 1 (Keyboarding) in the past or be eligible to transfer into the title.

Additional Comments PPreferred Qualifications:

Experience working in a public-facing and/or support-centered role in an office.
Experience with Microsoft Office 365, Adobe Creative Suite, and Canva
Ability to use University systems such as: Oracle BIEE, Banner, Degree Works, EMS
Experience working with diverse populations, especially in terms of diverse cultures, gender identities, and foreign languages.
