Job Specifics

Duties Description On a daily basis you will: Code vouches, Enter vouchers into the State Financial System, Enter vouchers into Pro, Check for payments, Enter Payments into Pro, Enter Credit Card payments in PRO, Set up Cardinal invoices for payment, Help vendors with inquiries, Check AP Aging reports and clear up issues, Register employees for conferences, seminars, Make travel arrangements/hotel reservations, Travel Proxy for all expense reports for the facility, Sort resident mail, Cover Central Supply as needed. On a weekly basis you will need to write Petty Cash checks, File vouchers and Mail vendor payment made by checks. On a monthly basis you will Receive invoice from independent contractors, enter their vouchers into SFS, Pro, etc., Reconcile credit cards and pay through SFS, send in NAC recertifications and payments, Petty Cash recaps to replenish check book and serve on facility teams as needed. Lastly, on a quarterly basis Every 4 months go through all the NATP tests and NAC recertifications and send out to the state to get a refund on all the money we have spent. (They refund the recertification and test fees)

Minimum Qualifications Reassignment: Current eligible New York State Department of Health employee with permanent or contingent permanent status as an Office Assistant 2.

Transfers: Current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service in a position eligible for transfer under Section 70.1 of the Civil Service Law to Office Assistant 2 (Calculations). Promotion Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must meet one of the following minimum qualifications: Be a current NYS Department of Health employee with one year as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Open Competitive HELPS qualifications: If less than three interested and qualified New York State Department of Health employees serving in the direct-line, lower-level title(s) within the agency apply to this opportunity, the agency may make a non-competitive appointment under the NY HELPS program: One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.

Additional Comments As an Office Assistant 2 (calc) assigned to the Business Office at the NYS Veterans Home at Oxford, the incumbent is responsible for, but not limited to, the following key responsibilities listed above in the Duties Description

To be eligible, candidates must be an employee of the Department of Health with one year as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
