Job Specifics

Duties Description Under the direction of the District Manager or Assistant District Managers, the Parks and Recreation Aide 7 will primarily perform administrative tasks within the Western Capital District, supporting the Capital District’s work to advance the design and construction of park facilities. Duties include, but are not limited to:

• Communicate and work with regional and agency business office staff regarding purchasing and budgeting.
• Communicate with District, Contracts and Agency staff located in various remote office locations by using videoconferencing, phone and email.
• Answer, direct, and make phone calls to assist Capital District Staff located in different office locations.
• Schedule meetings, interviews, trainings, and events,
• Distributing agendas, creating/distributing meeting minutes, and developing announcements.
• Scan, copy, print, fax, mail, and email documents
• Assist in managing, filing, and organizing paper/electronic documents and records.
• Assist with the onboarding and offboarding of staff.
• Assist technical staff with office and field assignments
• Assist in managing the district budget and enter and/or develop purchase orders.
• Reconcile purchasing for staff.
• Assist in managing, distributing, and purchasing office supplies.
• Assist in retrieving records, gathering information, and obtaining data as requested.
• Assist in preparing, drafting, proofreading, and editing correspondence, letters, memorandums, tables, charts, and reports.
• Assist in data entry, maintain and create various spreadsheets.
• Occasional travel to other office locations.
• Other administrative tasks as directed by supervisors.

Additional Comments Preferred qualifications:
• Experience with Microsoft Office software including Word, Excel, MS Teams, SharePoint, and Outlook.
ADDITIONAL COMMENTS
OPERATIONAL NEEDS:
• Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment
• Must possess strong organizational skills and the ability to work independently as well as with others.
• Must be able to communicate effectively with other staff and park patrons in a responsible and courteous manner.
• Must possess proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
