Duties Description As an Administrative Assistant 2, you would perform tasks which fall into four broad categories: communication, coordination, organization, and records maintenance. Within these categories, you would perform a variety of tasks which enable managers and program staff to accomplish the mission of the agency. You would review incoming correspondence and draft responses where appropriate; review outgoing correspondence; research background information; transmit instructions to staff and conduct follow-up. You would handle telephone calls and visitors and respond to questions; coordinate and arrange meetings; establish office procedures; design, set up, and maintain office filing systems (including electronic); resolve day-to-day operational problems; coordinate information flow by acting as liaison among key executives, staff, and other employees, and the public; and operate equipment which requires the skilled use of a standard alpha-numeric keyboard to produce correspondence, reports, and other agency documents. As an Administrative Assistant 2, you would participate in the management of an office or in the full scope of the program.
Minimum Qualifications Open to New York State Employees:
Candidates must be reachable for appointment from the current Civil Service eligible list for Secretary 2;
OR
Transfer Opportunity - Candidates must have permanent status as an Administrative Assistant 2, and be eligible for lateral transfer;
Or
Promotion: one year of service as Administrative Assistant 1 and be eligible for appointment from the Secretary 2 (now Administrative Assistant 2) eligible list for permanent appointment.
Or
Provisional Opportunity:
Candidates must be qualified employees of New York State and have at least one year of permanent competitive or 55-b/55-c service in any of the following titles:
Administrative Assistant 1, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Law Department Document Specialist Trainee 2, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), or Senior Data Entry Machine Operator.
If you are appointed provisionally, you must take the next scheduled Civil Service examination for this title, and your score must be reachable on the resulting eligible list before you can be permanently appointed. If you do not pass the examination or achieve a reachable score, you may not be retained.
OR
Candidates must be reachable for appointment from the current Civil Service eligible list for Secretary 2;
OR
Transfer Opportunity - Candidates must have permanent status as an Administrative Assistant 2 and be eligible for lateral transfer or have one year of permanent competitive or 55b/c service in a title SG-13 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law;

In accordance with Section 52.7 of the Civil Service Law, this notice advises all employees of the Office of Mental Health of our intention to conduct a non-competitive promotion examination for the position of Administrative Assistant 2 at Kingsboro Psychiatric Center. Permanent appointment may be made by non-competitive promotion of an applicant who meets the position’s minimum qualifications if all requirements of non-competitive promotion are met.
The promotion field for Administrative Assistant 2 position consists of candidates who have one year of permanent competitive or 55b/55c service as Administrative Assistant 1 (all parenthetics) ), Examination Composition Assistant, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), Secretary 1, Secretary 1 (Spanish Language), or Senior Data Entry Machine Operator.
