For Administrative Assistant 1 - Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation,
Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
For Administrative Assistant 1 Trainee - Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Duties Description The Administrative Assistant serves as a member of a small HR/Payroll team committed to providing high quality, confidential services to the SUNY Cobleskill campus community. The incumbent will be responsible for performing a variety of functions including composing correspondence, assisting with onboarding, maintaining personnel files, providing support to the CDO in recruitment efforts, and supporting the Director of Human Resources and Affirmative Action with ad hoc projects. The Administrative Assistant works with private and sensitive information concerning employees and the utmost discretion and confidentiality must be maintained.
Duties and Responsibilities Include, but not limited to:
Providing quality customer service to everyone who enters the HR/Payroll Office
Phones, email, mail and newsletter correspondence for the office
Maintaining personnel files and filing
Data entry for benefits
Processing requisitions in Interview Exchange
Administering DOT random drug testing quarterly
Assisting with on-boarding and off-boarding administrative responsibilities
Schedule appointments and maintain calendars of the office
Process background checks and volunteer paperwork
Prepare new employee orientations
Maintain training records
Support Events with Employee Recognition Ceremony
Serve as the liaison with Vector Solutions
Coordinate and support biannual benefits fairs
Make room reservations for candidates
Make on-campus room reservations for events
Provide employee lists to the unions and training vendors
Cross-train to be a back-up for student payroll
