Minimum Qualifications Reassignment: Current New York State Department of Health employee with one year of permanent or contingent-permanent service as a Program Aide, Grade 13 (formerly known as Administrative Aide, Grade 13, or Agency Program Aide, Grade 13).
Transfer: New York State employee with one or more years of permanent or contingent-permanent service in title at Grade 11 or above, and eligible for transfer to Program Aide, Grade 13.
Preferred Qualifications: The preferred candidate will have experience with Microsoft Office Suite; strong organizational skills; strong written and verbal communication skills; and strong attention to detail. They will also have experience with medical coding.
Duties Description The Program Aide (PA) will conduct phone and email outreach to hospitals, physicians, and other healthcare providers related to reporting; prepare routine correspondence to birth defects reporters for various outreach efforts; and obtain and review confidential data to assess if it meets eligibility criteria using the New York State Health Commerce System Birth Defects Registry application.
The incumbent will notify birth defects reporters of any outstanding reporting issues or missing information in birth defects reports; process responses from hospitals; match reports to one another; assign categorical codes to birth defect descriptions; answer questions from birth defects reporters regarding standard birth defects reporting procedures for the Registry.
The PA will review flagged records to assess data quality issues and make corrections; assist with routine procedures to improve reporting; coordinate, prepare and participate in various workgroup meetings; and prepare and discuss data quality investigation findings with internal staff.

Occasional travel throughout New York State to areas not served by public transportation may be required (5%).
For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
