Duties Description The Office Assistant 2 will provide office support and perform clerical duties including, but not limited to: accepting calls, retrieving messages and routing calls/messages appropriately; maintaining the supply inventory; coordinating schedules and scheduling meetings; typing, proofreading and generating reports, letters, documents, and other communication on behalf of the Division; filing and recordkeeping consistent with the Department’s established protocols; establish new files by coding and numbering forms, creating folders, and compiling relevant material; accepting, tracking, and routing all incoming and outgoing postal mail consistent with established Division policies and procedures; data entry; provide back-up support to colleagues during vacation or other leave; and other duties as assigned.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
Non-Competitive Minimum Qualifications (HELPS):
One year of clerical experience.
Competitive Minimum Qualifications:
Current New York State Department of Health employee with permanent or contingent permanent status as an Office Assistant 2, Grade 9, OR current New York State employee with one or more years of permanent or contingent-permanent status in a title at or above a Grade 7, and eligible for transfer under Section 70.1 of the Civil Service Law.
Provisional: Current NYS Department of Health employee with one year or more of permanent or contingent-permanent, competitive service or 55-b/55-c service in an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Preferred Qualifications: The preferred candidate will have experience working with Microsoft Office including Outlook, Word, and Excel, PowerPoint, Webex, and SharePoint. They will also have strong written and verbal communication skills, excellent organizational skills, with a strong focus on attention to detail. They will be able to work in a team environment as well as independently on tasks where needed and demonstrate strong critical thinking skills when encountering issues and problems.
Additional Comments This position is part of the NYS HELPS program. No examination is required.
For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
