Duties Description • Supervises distribution of all incoming hospital files to appropriate collection personnel and the preparation of closed files for warehouse; verifies that warehouse retrieval data is accurately entered and maintained in office systems. Reviews daily work routines for clerical staff to avoid any backlog of filing work and maintain smooth flow of files from and to collection staff.
• Trains clerical staff in the proper handling and routine care of office equipment and complete annual performance evaluations and probationary reports for Office Assistant 1 staff.
• Instructs and supervises clerical staff in the proper methods of retrieving data from mainframe databases, including hospital patient accounts system.
• Insures adequate clerical staffing and coverage on a daily basis, reporting to Assistant Attorney General in Charge any staffing problems, and completing necessary tasks for absent clerical staff.
• Supervises the handling and distribution of incoming and outgoing mail; supervises the printing, distribution and copying of daily letters; supervises Financial Class changes for Client Agency.
• Maintains files of Medicare Bad Debt Write off audit sheets and print monthly reports.
• Batches new cases and enter new cases for all hospitals; companionation of new files with existing files on database.
• Other clerical and supervisory duties as assigned.
Minimum Qualifications NY HELPS:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE QUALIFICATIONS:
One year of clerical experience.
OTHER WAYS TO QUALIFY:
Reachable on the Department of Civil Service Eligible list for Office Assistant 2.
OR
Eligible for a lateral transfer or eligible for transfer under Section 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title. 55 B/C: This position is eligible for 55b/c appointment, and candidates with 55b/c eligibility are encouraged to apply. To be eligible for a 55b/c appointment, candidate must be currently enrolled in the Civil Service 55b/c program and must meet the minimum qualifications listed above.
Additional Comments *This position is located in Suffolk County and will receive $3,400 added to the base annual salary as location pay.
