Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill an
Administrative Assistant 2, Grade 15, position assigned to the Center for State and Community Workforce Development and Human Resources (SCWDHR) reporting to the Associate Commissioner Mental Health, Director. The incumbent of this position provides confidential executive administrative support to the Director and SCWDHR. In addition, the incumbent manages office support staff, ensures adherence to agency policies and procedures, sets work priorities, oversees written correspondence, and ensures appropriate coverage. The incumbent will also provide additional support to all the SCWDHR Bureaus with administrative and operational support. Specific duties to be performed may include, but are not limited to the following:
Performs confidential secretarial duties for the Associate Commissioner Mental Health, including scheduling, managing travel, handling confidential correspondence and records.
On behalf of the Director, communicates and coordinates with agency executive staff, program managers and inter agency staff; responds to inquiries and requests from Executive staff, representatives of other State agencies, employees and the public.
Manages inquiries and requests, including requests for meetings. Fields concerns from a variety of individuals and groups and directs calls to the appropriate division or bureau head.
Tracks assignments with various bureaus of SCWDHR. Ensures that those assignments are completed and that issues are addressed and responded to in a timely manner.
Maintains the Director’s detailed calendar. Completes all paperwork associated with calendar events and travel arrangements. Schedules briefing meetings as appropriate.
Proofreads/edits all agency correspondence prepared for the Director’s signature or review for accuracy. Assemble and coordinate background materials for review.
Maintains Director’s travel arrangements in the Statewide Financial System (SFS) and handles office related purchasing and reconciliation.
Answers the telephone, responds to questions concerning policies or procedures or directs calls to the appropriate staff member, and takes messages.
Opens, reviews, sorts, and distributes the mail.
Performs other tasks/projects as requested.
Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position. Candidates must have permanent status as an Administrative Assistant 2, Grade 15, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having at least one year of permanent service in a qualifying title within two salary grades of the Grade 15 level.
Candidates who are not transferring from, or have formerly held, a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
