Essential Functions
• Perform office support and clerical work such as filing, organizing records
• Data entry
• Opening, distributing, and organizing mail
• The ability to stand, bend over, and lift file boxes
• Ability to occasionally lift over 50 lbs.
• Supply and inventory-related tasks
• Keyboarding and other document preparation tasks
• Assisting customers via email or phone
• Compiling data in preparation of monthly management reports
• Supervisor two or more Office Assistants 1 or other lower-level staff
• Perform more complex clerical processing and office support work for which substantiative knowledge of the program area is required
• Handle sensitive requests or inquiries for management or executive staff
• Oversight, ensuring subordinate staff is properly trained and has appropriate resources to perform tasks
• Plan work and determine how it will be performed
• Assign work to staff to assure necessary coverage for assignments in the office
• Evaluate performance of staff
• Prepare performance evaluations
• Schedule work hours and time off/approve leave requests of subordinate staff
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS:
One year of clerical experience.
COMPETITIVE MINIMUM QUALIFICATIONS:
The selected candidate must be reachable on the eligible list for this title and location or eligible for a 70.1 transfer under Civil Service Law, Rules and Regulations.
