Duties Description Answer phones (handling daily inquiries from employees, supervisors, Division HQ,

Admin HQ, vendors and other non-Thruway calls)

Monitor Thruway radio traffic (also respond/use radio)

Enter Time & Attendance data (Kronos, LAM, TAM)

Enter Thruway Maintenance Management System (TMMS) data (daily entry of employee work project information)

P-Card Clerk duties (daily/monthly data entry and reconciliation duties)

Inventory management (manage stockroom inventory – receiving/distribution, conduct spot checks)

Manage/monitor bulk items including fuel and salt supply levels Coordination of tool complement program and semi-annual clothing program

Coordination of inter-office mail and paperwork (injury reports, medical documentation, leave of absence requests, new employee paperwork)

Coordination of mandatory training rosters and TMW trainee paperwork

Responsible for all clerical functions in the Kingston Section.

Tracking of all of employee’s accrual usage.

Responsible for distributing and tracking bulletins, directives, and internal postings on a daily basis for all Kingston Sections.

Works as a liaison with the Albany Division Administration Office to complete tasks related to administrative, personnel/payroll issues, such as, injury reports, medical documentation, leave of absence requests, lost check inquiries, direct deposit for Kingston Section employees.

Coordinates of mandatory training rosters.

Maintains the flow of paperwork so that Kingston Section can operate smoothly regarding issues with administrative paperwork and procedures stay functional daily.

Minimum Qualifications TRANSFER QUALIFICATIONS FOR CURRENT STATE EMPLOYEES:

Current New York State employee with one year or more of qualifying permanent service allocated to a Grade 07 or above and eligible for transfer under Section 70.1 of the NYS Civil Service Law.

PROVISIONAL PENDING EXAMINATION AND/OR NCP QUALIFICATIONS:

Current New York State Thruway Authority employee with one year or more of qualifying permanent service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.

GENERAL PUBLIC AND/OR NY HELPS MINIMUM QUALIFICATIONS:

One year of clerical experience.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.
