Duties Description Reporting to the Administrative Specialist 2, the Administrative Specialist 1 will be assigned to the Office of Emergency Management (OEM) Executive Team. Duties include, but are not limited to:
• Assist with the development and maintenance of policies and procedures for OEM.
• Maintain contact info and operational databases for NYS OEM Field Staff.
• Assess and evaluate information regarding Field staff.
• Work in a time-sensitive environment to rapidly assess emerging incidents and be able to vet information to accurately brief Field Staff or supervisor.
• Expedite and disseminate emergency information according to established policies and protocols to Field Staff or supervisor.
• Assist NYS OEM Field Response with daily administrative tasks to include meeting scheduling, correspondence, and travel requirements.
• Maintain contact info, operational databases and complex communication systems.
• Interact with local, state, and federal government agencies and officials at all levels via telephone, email, and in person.
• Review and approve reports (both planned and unplanned) for thoroughness and compliance with recognized standards prior to dissemination to field staff.
• Maintain a regular, timely, and accurate flow of information with supervisor, field staff, and executive staff as necessary.
• Support day to day functions in the emergency operations center, as well as during times of emergency and disaster from the State Emergency Operations Center, State field offices and/or county/local deployments.
• Help coordinate and provide logistical support during state and local emergencies.
• Coordinate response and maintain log of Governor's Correspondence emails.
• Facilitate and maintain New York State's Emergency Plate program.
• Perform other duties as assigned that are in support of the mission of Field Response program.
• Travel may be required, up to 10%.
Minimum Qualifications Bachelor’s degree from a regionally accredited college or university or one recognized by the New York State Education Department as following accepted educational practices plus two years relevant experience.
Additional Comments NOTE: Support of operations during times of emergency and disaster from State Emergency Operations Center (EOC), state field offices and/or local deployments may be required, which would result in a change and/or increase in working hours, locations and/or duties.
