Duties Description • Create and coordinate meeting and event invitations as directed ensuring calendar invites are sent to all attendees.
• Complete travel vouchers in the State Financial System as a proxy for the Commissioner, and for yourself as needed.
• Create correspondence on behalf of the executive team, prepare items for signature and ensure mailing when required. This includes but is not limited to letters, awards, certificates and mass mailings such as a mail merge.
• Retrieve and distribute incoming mail and postage and serve as lead for outgoing mail and postage.
• Ensure that important correspondence, including those from the Governor’s Office are addressed while tracking the assignment of tasks and reporting of the resolution as needed.
• Answer the phone and screen calls. Maintain a record of all contacts from the Legislature and take detailed messages.
• Take calls from Veterans and their family members or transfer for further assistance when appropriate.
• Maintain correspondence files and other records for the Executive Staff.
• Scan paper files and store them in files on the share drive in an organized manner.
• Maintain a neat and professional office.• Utilize your Microsoft Outlook calendar for all daily activities and appointments. Access to your Microsoft Outlook calendar shall be given to your direct supervisor.
• Monitor your email multiple times a day to ensure tasks are received and accomplished.
• Take and type minutes for executive meetings.
• Complete all assigned State and Department trainings prior to assigned due dates.
• Other reasonable duties as directed.
Operational Needs:
• Possession and maintenance of a valid Driver’s License issued by the NYS Department of Motor Vehicle is required or otherwise demonstrate the capacity to meet the transportation needs of the job.
• Travel may be required (approximately 10%)
Minimum Qualifications Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
