Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Agency Program Aide, G-13; OR in a title at Grade 11 or above that is eligible for transfer under Section 70.1 of the Civil Service Law, such as Administrative Aide, G-13; Principal Mail and Supply Clerk, G-12, etc. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Duties Description This position is assigned to the Grants Reform Team in the Human Services cluster of the office of Information Technology Services (ITS). The Grants Reform Team is one of the Governor’s key Business and IT Transformation Projects, in the Operational and Customer Support Services unit of ITS. The position supports the growth and expansion of the Grants Gateway.

Duties include, but are not limited to, the following:

- Assist the unit’s management team in managing the day to day Grants Gateway activities.

- Provide technical and administrative assistance to management, supervisory personnel, and agency staff.

- Monitor Helpdesk and Grants Reform mailboxes; respond to phone calls, emails, and general inquiries.

-Monitor the Grants Gateway system for newly prequalified vendors and review documents to ensure they are complete. Work with State agencies and vendors to correct any issues during the pre-qualification process and when certain documents expire and need renewal.

- Assist with user registration, system access, and account management.

- Assist with Grants Gateway and Vendor file maintenance.

- Assist in maintaining the Grants Reform website; ensuring content remains current and accessible.

- Assist with developing materials for and coordinating Vendor Training.

- Clarify and interpret policies and procedures and assure policies and procedures are available for and sent to affected individuals and programs.
- Generate, evaluate, and maintain statistical, performance, and management reports.
- Draft routine correspondence as requested by supervisor.
- Perform other duties as assigned by supervisor.
