Duties Description The New York State Education Department’s (NYSED) Charter Schools Office (CSO) is seeking candidates for the position of Administrative Assistant 2, Salary Grade 15. It is the responsibility of the Charter Schools Office to create and sustain excellent educational options for New York State families on behalf of the Board of Regents through high quality charter schools authorizing, fair and transparent oversight of all charter schools, and the dissemination of innovative school designs and practices. The duties of this position will include but not be limited to, the following:
• Manage shared office inbox and shared calendar, including tracking, and responding to high-volume and sensitive correspondence from charter schools, stakeholders, and the public;
• Ensure timely processing of charter school complaints, including logging, routing, and monitoring responses to meet required timelines;
• Coordinate and monitor Freedom of Information Law (FOIL) requests and related legal correspondence, ensuring accuracy, confidentiality, and adherence to statutory deadlines;
• Provide advanced scheduling and logistical support for the Director and Supervisors, including coordinating meetings, deadlines, and follow-up actions;
• Perform higher-level administrative tasks such as procurement, purchasing, travel authorization, and travel reimbursements;
• Assist CSO staff with SFS, travel authorizations, and related fiscal paperwork;
• Coordinate mail handling, inter-office communication, and other office operations as needed to ensure smooth workflow;
• Serve as a liaison to internal and external partners, including the other NY charter school authorizers, charter school representatives, and other SED offices;
• Assist with monitoring compliance activities, including maintaining tracking systems for renewal materials, required submissions, statutory timelines, and school-reported data;
• Support legal and regulatory functions, such as preparing materials related to charter revisions, renewals, closures, and statutory review processes;
• Protect confidential information and exercise sound judgment in handling sensitive or personnel-related materials; and
• Provide continuity of operations by maintaining institutional knowledge and ensuring smooth workflow during staff transitions.
Minimum Qualifications MINIMUM QUALIFICATIONS:
Reassignment: Candidates must have one year of permanent competitive or 55b/c service as an Administrative Assistant 2.
Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter. You must complete and return it as instructed on the letter.

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must be a qualified employee of New York State and have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, Administrative Assistant 1 (Spanish Language), Examination Composition Assistant, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), Secretary 1, Secretary 1 (Spanish Language), or Senior Data Entry Machine Operator. Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered and must be reachable on the resulting eligible list to maintain employment.

Additional Comments CONDITIONS OF EMPLOYMENT:
This will be a permanent appointment or a temporary provisional appointment. Provisional candidates must take the examination for Administrative Assistant 2 when it is next offered and must be reachable on the resulting eligible list to maintain employment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. This position allows for the opportunity to telecommute up to 30% each bi-weekly pay period and is granted at the discretion of the supervisor and the appointing office. The work schedule for this position includes hours of Monday through Friday 8:00am – 4:00pm.
This position leads to a maximum salary of $72,429 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
