Duties Description This position is located in the Investor Protection Bureau of the New York State Attorney General's Office and performs the following duties:
Bureau Administration
• Provide administrative support to the Bureau Chief and the Deputy Chief, such as scheduling and attending meetings, note taking, drafting minutes, answering phones, and preparing files and binders for meetings.
• Triage calls from the public and within OAG and determine how and where to direct the public and incoming voicemails.
• Schedule court reporters, book conference rooms, and prepare rooms for interviews, meetings, confidential examinations, and depositions.
• Ensure office printers are stocked with paper and in good working order, keep maintenance logbook of all service requests, including Lexmark machine, on a monthly basis, and returning ink cartridges to manufacturers for recycling.
• Maintain and update the bureau law library.
• Manage supplies and submit bureau expenses.
• Handle FOIL and file requests for archived files, maintain requests log and return files to archives.
• Assist with formatting documents.
• Coordinate and assist with transcription and translation services.
Staffing
• Use Legal Recruitment System. Coordinate and schedule interviews for employment candidates.
• Liaise with IT to obtain computer access, office space, and phones for new employees.
• Use SFS and Concur to support bureau travel needs, including scheduling travel and submitting expense reports.
• Perform initial time and attendance review on LATS.
Registration, Franchise & Process Management
• Process registration filings using EFD, MS Access and various databases. Archive files in the Paper Archiving Management System (PAM).
• Manage receipt of registration fee checks using MS Access and MS Excel, including processing requests for refunds.
• Assist with letter and permit mail merge and other mailings.
• Assist with incoming mail review and processing.
• Provide administrative support to Registration and Franchise sections, as needed.
• Data entry, as needed.
Perform other duties as assigned.
Minimum Qualifications Reachable on the Department of Civil Service Eligible list for Administrative Assistant 2 in this location.
OR
Eligible for a lateral transfer or eligible for transfer under 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title. NOTE: Employees appointed via the NY HELPS program are restricted for promotional appointment until their position is covered into the competitive class by the New York State Civil Service Commission (CSC), or they otherwise obtain permanent competitive status. The CSC has recently covered-in employees who were appointed via NY HELPS on a permanent or contingent permanent basis between June 26, 2024, and June 11, 2025. You may wish to apply if you received a permanent NY HELPS appointment to a qualifying title within these time frames and are interested in this opportunity. Your eligibility for promotion will be reviewed by Human Resources. Employees with a permanent NY HELPS appointment occurring effective 6/12/25 or later will be addressed with a subsequent cover-in.
Additional Comments For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, Payroll rules and regulations, and negotiated union contracts.
