Duties Description • Process incoming and outgoing inventory items using AIM software, ensuring accurate data entry and recordkeeping.
• Assist in preparing reports and documentation by compiling data from inventory records, manual files, and automated systems to support program operations.
• Order stock items and coordinate procurement activities, ensuring timely and accurate stock replenishment.
• Respond to inquiries from internal staff or external vendors regarding inventory status, ordering procedures, or shipment issues, maintaining clear and professional communication.
• Research and resolve discrepancies in stock records, inventory counts, or shipment issues by consulting relevant documentation, communicating with vendors, and escalating issues as needed.
• Maintain and update inventory processing procedures, including documenting workflows and standard operating procedures to improve accuracy and operational efficiency.
• Support in managing sensitive applications or requests related to stock or inventory, ensuring compliance with applicable laws, rules, and regulations, in consultation with supervisory staff.
• Track and document inventory movements and transactions to ensure accurate records and facilitate audits.
• Assist in the physical handling and movement of inventory items within the warehouse or storage areas.
• May require the ability to routinely lift and/or carry heavy items and the ability to routinely reach, bend, stand, and walk for long periods of time.
• Capable of lifting and carrying items weighing up to 50 pounds to support inventory management activities.
• Other duties as assigned.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, if they meet the below NY HELPS minimum qualifications.
NY HELPS Non-Competitive Minimum Qualifications:
One year of experience where most work time is spent performing activities related to mail receipt, mail distribution, storage, and/or stores keeping.
It is expected that employees hired under NY HELPS will have their non-competitive employment status converted to competitive status in the future, without having to compete in an examination. Employees will then be afforded all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified. Competitive Minimum Qualifications:

As this position requires travel, the appointee must have a valid license to operate a motor vehicle in New York State and have a motor vehicle or otherwise demonstrate their capacity to meet the transportation needs of the position.
Subsequent 55 B/C Qualifications:
A subsequent 55b/c appointment may be considered if you have one year of permanent or contingent-permanent service in an Office Assistant 1 and have a current Civil Service 55b/c approval letter.
Reassignment Qualifications:
Current Department of Labor employees only, with at least one year of permanent, contingent-permanent, or 55b/c service in a/an Office Assistant 2 Stores/Mail; if you have less than one year, you must be reachable on the current Office Assistant 2 Stores/Mail eligible list for this location, if one exists.
70.1 Transfer Qualifications:
One year of permanent or contingent-permanent as a Grade 7 or higher determined to be similar by Civil Service.

Preferred Qualifications:
Ability to initiate and maintain relationships across a diverse set of stakeholders. Mailroom machine experience.
