Duties Description The AA2 will support the Region 2 (New York City) Regional Director (RD) by:

(1) Providing administrative support to the RD, including telephone calls, visitors, arranging travel, prepare and submit expense reports, maintaining Outlook calendar, and meeting coordination;

(2) Preparing and managing written and other RD communications, draft responses and maintaining files;

(3) Keeping current Regional staff rosters, phone numbers, office locations, and Outlook email lists;

(4) Managing and tracking Division out of state travel request submissions;

(5) Assessing regional training needs, locating appropriate training, schedule and tracking completion;

(6) Establishing and maintaining office procedures, as necessary;

(7) Coordinating information flow by acting as a liaison among key staff and other employees,

(8) Tracking and coordinating regional responses in cooperation with the Commissioner Correspondence Unit;

(9) Managing reports related to regional processes, including vacancy reports, budgets, annual evaluations, etc.

(10) Assisting with other administrative tasks as needed.

Minimum Qualifications Non-competitive: high school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

** Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
