Duties Description Under the supervision of a Co-Director, the Administrative Assistant for Tuition Benefits is responsible for the day-to-day oversight and various activities related to the Tuition Benefits Program. This includes assisting the tuition benefits Program Associates, Educational Advisors, and CSEA-represented NYS employees with tuition vouchers and reimbursements, certification and licensure fee reimbursements, exam fee reimbursements, and all targeted programs, where applicable.
Duties include, but are not limited to:
• Administer all aspects of the voucher and reimbursement application process to ensure compliance with administrative and programmatic requirements for multiple tuition benefits.
• Ensure accuracy and timeliness of all school payments and member reimbursement processes.
• Review and process tuition application forms, identify missing information, and send benefits to CSEA participants on a weekly basis.
• Review the approval of payments, stop-payments, reconciliation of applications, and change or cancel vouchers as requested in Microsoft Dynamics.
• Run tuition reports in Microsoft Dynamics as requested.
• Audit participating provider payment rosters and member requests for tuition reimbursement.
• Assist employees and educational providers with student billing problems.
• Anticipate obstacles and issues, review processes as needed to facilitate solutions.
• Follow specific timelines for Partnership program development and implementation.
• Contact participating educational providers and students by phone or mail to correct or complete information as necessary.
• Provide program advisement to CSEA-represented NYS employees, specifically regarding tuition reimbursement.
• Troubleshoot innovative solutions to work problems with minimum supervision.
• Share information, including organizational issues, in a suitable and timely manner.
• Present ideas in a clear, concise, and organized approach.
• Build collaborative relationships with tuition and advisement services, internal and external customers, and organizational stakeholders.
• Organize and manage resources to complete tasks accurately and efficiently.
• Other duties as required.
Minimum Qualifications • Three years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
• Able to compute mathematical equations and process financial records.
• Able to deal with multiple priorities and competing deadlines in a team setting.
• Ability to work alone with minimal supervision or as part of a team.
• Attention to detail a must.
• Excellent customer service, interpersonal, oral, and written communication skills.
• Proficient in Microsoft Office Suite.
• Microsoft Dynamics knowledge preferred.
• Previous experience working in a multi-functional team setting preferred.
• Experience in labor-management, union or government setting preferred.
Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
