Duties Description The Administrative Assistant 2 will provide administrative support to the Associate Commissioner of the Division of Harm Reduction and the Division of Criminal Justice, ensuring management of logistic and administrative functions of both Divisions. Duties include, but are not limited to the following:
• Data entry; answering phones and receiving/greeting guests.
• Reviews and organizes all incoming mail. Distributes routine and critical time sensitive assignments and communications to staff and coordinating responses.
• Develops, edits and completes written and online reports for approval/submission, including but not limited to, attendance, purchasing of office supplies, vendor fees, and services, as well as inventory.
• Provides guidance and training support for newly hired administrative staff
• Coordinates interview panel schedules, schedules interviews for potential candidates, obtains references, and other documentation needed in hiring process
• Communicates with executive and management staff, program managers, and administrative staff, keeping track of correspondence and follow-up with various representatives of different agencies, answering questions and assistance.
• Manages Outlook calendars by scheduling meetings, replying to correspondence, and maintaining electronic filing systems for the divisions.
• Organizes travel arrangements: Reserves transportation, makes hotel accommodations, completes approval forms for travel, and completes expense reports for the SFS travel process.
• Performs other job-related duties as assigned.

Preferred skills include ability to utilize: Webex; Zoom, Teams; Sharepoint; Word and basic Excel

Minimum Qualifications Permanent status as an Administrative Assistant 2 and interested in transfer; OR reachable for permanent appointment on the current Civil Service eligible list; OR
eligible to transfer via Section 70.1 of the Civil Service Law.

Provisional Appointment:
To qualify for provisional appointment, candidate must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service as follows:
Examination Composition Assistant, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding) (Spanish Language), Administrative Assistant 1, Administrative Assistant 1 (Spanish Language), or Senior Data Entry Machine Operator.

Additional Comments $59,808 - $74,695*
*Plus $4,000 location pay

* The salary range listed in this posting reflects the full range for this graded position, factoring in annual performance advances based on satisfactory annual performance reviews. Candidates with no previous State service will begin at the hiring rate (starting rate of the salary range) listed above, plus any applicable Location Pay/Geographic Pay/Shift Pay differentials.

Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
