Duties Description Summary:
The Office Assistant 1 (Stores/Mail) performs routine clerical and office support duties to support mail, stores, and printing operations. This position is responsible for processing requests, maintaining inventory, and performing standardized tasks in accordance with established procedures. Work is performed under direct supervision, with limited discretion and clearly defined guidelines.

Major Responsibilities:
Inventory & Supply Management
• Stock Maintenance: Maintain stock of office, mailroom, print, and storeroom supplies; restock items according to established inventory levels.
• Inventory Auditing: Perform routine inventory counts and assist with inventory control activities, including recording discrepancies and notifying supervisory staff of shortages or overages.
• Order Processing: Process Central Stores requests, including order entry, receipt verification, distribution of supplies, and maintenance of related records.
Mail & Printing Services
• Reproduction Services: Receive, log, and process routine printing requests in accordance with established procedures; forward complex or specialty requests to appropriate staff.
• Mailroom Operations: Assist with mailroom operations, including sorting, distributing, metering, and preparing outgoing mail.
• Equipment Operation: Operate standard office and mailroom equipment such as copiers, printers, scanners, postage meters, and computers.
Administrative & Clerical Support
• Data Management: Enter and maintain basic data related to inventory, printing, and mail services in designated systems.
• Customer Service: Respond to routine inquiries and provide general information; refer non-routine or complex questions to supervisory staff.
• General Clerical: Perform filing, document preparation, and other clerical duties as assigned.

Knowledge, Skills & Abilities:
• Knowledge of basic clerical and office procedures.
• Skill in operating standard office and mail equipment.
• Ability to maintain accurate inventory and clerical records.
• Ability to follow established procedures and prioritize routine tasks.
• Effective communication skills.

Minimum Qualifications 1. Permanent Competitive Appointment Options:
To be appointed on a PERMANENT basis to this title, you must hold or have held the title of Office Assistant 1 or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be emailed to people on the eligible list. You may also qualify if you are permanent in the following title: Office Assistant 1 (Keyboarding).

2. Non-Competitive Appointment Option:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required, but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date (within one year of permanent appointment), employees hired under NY HELPS will have their non-competitive status converted to competitive status, without having to compete in an examination. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified

NON-COMPETITIVE QUALIFICATIONS-There is no minimum education or experience requirements for this title.

Preferred Qualifications:
• Experience with printing and copying
• Experience in higher education
