Duties Description • Track and analyze the schedules, workloads, and performance of attorneys, engineers, and other professional and administrative staff in the Office of Legal Services.
• Directly supervise administrative staff within the Office of Legal Services, assuming primary responsibility for the administration of, among other things, the Accident Damage Recovery, Vehicle Damage Recover, and Small Claims programs.
• Coordinate and oversee the administrative functions within the Division of Legal Affairs, which spans multiple units and bureaus.
• Issue internal reports and summaries regarding the status of Small Claims, Accident Damage Recovery Claims, Vehicle Damage Recovery Claims, staffing and office coverage, Freedom of Information Law requests, and other matters involving the Division of Legal Affairs, and assist in the preparation of materials, required correspondence, and the gathering of records for such program areas.
• Complete projects involving independent preparation of written materials and reports, and the organization and analysis of information related to the functions of the Division of Legal Affairs.
• Prepare, review, and evaluate a variety of internal and external reports and records.
• Ensure that administrative staff are adequately trained in required functional areas and that appropriate staffing coverage is maintained throughout designated office hours.
• Serve as the designated ITS liaison for the Division of Legal Affairs, including assuming primary responsibilities for all internal and external Division of Legal Affairs website content organization and updates, and ensuring that such content is in compliance with ADA requirements.
• Perform other administrative and managerial tasks, including the completion of priority projects, as required, to ensure the operational success of the Division of Legal Affairs.
• Establish and document structured processes and procedures for the various Division of Legal Affairs programs areas and functional groups.
• Develop database systems for the tracking and reporting of information across multiple program areas and functional groups within the Division of Legal Affairs.
• Interact with the general public, media, legal representatives, and internal NYSDOT personnel spanning eleven regions and myriad practice and program areas, effectively communicating with this diverse population, while possessing a broad understanding of the purview, responsibilities, terminology utilized, and available resources of programs and units throughout the State.
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.

The salary range listed reflects the full range for this graded position. For new State employees appointed into graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
