Duties Description Reporting to the Administrative Specialist 1, SG-18 within the Division of Environmental Stewardship and Planning (DESP), the Park and Recreation Specialist 2, SG-NS will perform administrative duties in support of the bureau. The successful candidate will act as the main point of contact for the Division, answering phones and greeting visitors. This position is responsible for scheduling meetings and events, maintaining inventory and equipment, and submitting transactions in the Statewide Financial System (SFS). Additional duties will include, but are not limited to the following:
• Assist employees with pre-travel and post-travel paperwork; submit forms in the Statewide Financial System (SFS).
o Research and book hotels and cars for travel for DESP and other bureaus as needed.
• Assist the Administrative Specialist 1, SG-18 with scheduling meetings and interviews.
• Maintain working knowledge of meeting room equipment and its use, answer questions and
assist users.
• Assist Recovery Program Manager with general office work and maintaining office equipment/inventory for unit.
• Assist with planning for Division gatherings and celebrations.
• Reconcile purchases and enter requisitions in SFS.
• Manage SharePoint site and folder access.
• Work with the administrative team to update and maintain internal DESP contact lists.
• Monitor and triage DESP’s shared mailbox in Microsoft Outlook.
• Plan, organize, and execute group events, monthly recurring meetings, annual retreats, and
smaller conferences, serving as contact person with event vendors and attending as needed to ensure smooth operations.
• Assist with researching, writing, and submitting Requests for Quotes (RFQs).
• Manage DESP technology assets, and where applicable, managing assets in the centralized
OPRHP asset tracking database, Asset Cloud.
• Processing onboarding for DESP new staff, including:
o Serving as the designated Network Access Administrator (NAM) with special privileges
and training to submit employee onboarding/transfer IT tickets.
o Assist with offboarding as needed.
• Organizing and/or assisting with division-wide efforts, which includes:
o Moving equipment and supplies to a new storage warehouse.
o Organizing and packing/unpacking the office for the renovation project.
o Scanning hard copies of documents into electronic filing systems, culling obsolete documents and reference materials.
o Adding guests to Passage Point and receiving them upon arrival.
o Ordering and inventorying uniforms.
• Taking notes/meeting minutes and distributing them to meeting attendees.
Minimum Qualifications Two years of experience in maintenance, construction, landscaping, business operations, park operations, or in an organized recreation program.
Additional Comments OPERATIONAL NEEDS:
• Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment.
• Must be available to work occasional evenings as needed.
• Ability to lift and carry up to 25 lbs.
