Duties Description The Office of Mental Health is recruiting to fill a Secretary 2, G-15 position in the Office of the Chief Medical Informatics Officer. The incumbent will report to the Associate Commissioner. In this capacity, the incumbent will perform a variety of confidential duties which include, but are not limited to, the following:
• Maintain calendars, schedule meetings, conferences, conference calls and webex/videoconference meetings.
• Assemble and coordinate background materials for meetings and conferences.
• Make all travel arrangements, Statewide Financial System (SFS) entries for travel and procurement card orders.
• Work in Microsoft Word, Excel, Power Point and Visio; review documents for completeness, format letters and other forms of communication and tracks deadlines of all kinds.
• Manage highly confidential material for the Associate Commissioner.
• Open, review, sort and distribute mail in accordance with staff assignments.
• Review incoming correspondence and reports to determine their significance; gather background information.
• Prepare responses to correspondence and prepare charts, reports and forms.
• Answer telephone and respond to questions or refer complex issues to appropriate staff.
• Transmit instructions from Associate Commissioner to staff and monitor staff assignments.
• Track and manage routine business transactions such as time and accrual records, time off requests, purchase orders, etc.
• Interact in person, and by telephone, with agency and interagency staff.
The ideal candidate will have:
• Strong oral and written communication skills.
• Strong organizational and interpersonal skills.
• Ability to work independently.
• Ability to handle multiple tasks.
• Be proficient with Microsoft Office applications-Word, Excel, PowerPoint and Visio.
