Duties Description Overview:

The Senate Events team is a central component of the Senate Services Department, providing event planning and support to all Senators in the New York State Senate. Throughout the Legislative Session, Senators reserve a wide variety of rooms and spaces to host advocacy groups, set up informational displays, conduct luncheons, and hold meetings.

The Event Coordinator must be a self-starter who serves as the primary point of contact for event planning and support, ensuring that every event—regardless of its size—is seamless and successful.


Day-to-Day Responsibilities:

• Responding to emails and phone calls from staff in a timely fashion;
• Executing event details as provided by the hosting Senator;
• Working professionally with a graphic designer on visuals; and
• Using large format printers and laminators to produce these materials;
• Setting up your assigned event;
• Attending your assigned event;
• Keeping a meticulous record of event details;
• Maintaining close working relationships with other Senate Departments;
• Attending weekly meetings with the Senate Events Manager;
• Working with Event Coordinators on the team to solve problems, brainstorm new ideas, and assist on larger Senate-wide annual events;
• Meeting attendance requirements as established by the office;
• Updating the events calendar on your progress with each event

Minimum Qualifications Candidates must have a high school degree or the equivalent. One year of event planning experience is preferred.
