Minimum Qualifications Qualifications for Administrative Assistant, G-18:
Open to NYS employees with one year of permanent competitive service as an Administrative Assistant OR in a title G-16 or above deemed administrative under Section 52.6 of the Civil Service Law OR in a title G-16 or above appropriate for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Qualifications for Administrative Assistant Trainee, NS
Also open to NYS employees in a title designated appropriate for Section 70.1 transfer to the title of Administrative Trainee 1 or Administrative Assistant Trainee 2.

Candidates with at least one year of permanent competitive service in a title allocated to G-11 or higher who have standing on the PCO or PMI eligible lists, or who have a bachelor’s degree and are active on the PATT eligible list may be eligible for transfer under the provisions of Section 70.4 of the Civil Service Law.

Candidates eligible for consideration under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55b/c of the Civil Service Law will also be considered. Individuals certified eligible for the 55b/c program must possess a bachelor's degree to meet the education qualifications. Salary range above applies to candidates appointed to Administrative Assistant, G-18. The hiring rate for candidates appointed to Administrative Assistant Trainee starts at $38,941 and is based on the candidate's salary at the time of hire. Candidates hired into the traineeship will be advanced to Administrative Assistant upon the successful completion of a two-year traineeship.

Duties Description Under the direction of the Director of Data Center Hosting, the Administrative Assistant will function as the sole support person for the Data Center Hosting Unit. This position is critical to the ongoing support activities. Duties include, but are not limited to, the following:
• Prepare, submit, and track purchase requisitions on behalf of management within NYS Statewide Financial System.
• Provide guidance to management on the evaluation and selection process for various procurement methodologies.
• Review and interpret policies and procedures and distribute to affected staff.
• Develop Data Center organizational procedures.
• Serve as Human Resources Liaison for Data Center Hosting organization: function as primary contact between program area and ITS Human Resources for waiver requests, recruitment, classification, etc.; coordinate development and submission of waiver requests; request eligible lists from Human Resources; follow up with supervisors in unit for completion of probation reports performance programs; and maintain organizational charts.
• Maintain and update tracking spreadsheets for various inventories from employee workstation equipment to various software inventories and software key expiration updates.
• Generate, review, and post monthly Open Systems Customer Chargeback Reports and respond to initial questions/concerns regarding reports.
• Conduct onboarding/Off boarding provisioning of all State and Contract employees ensuring all equipment, accounts, access is set up prior to arrival/departure.
• Perform administrative functions of processing and tracking the Project Support Proposal (PSP) system within Open Systems environment submitted to internal and external agency customers.
• Process and track contractor timesheets and hours to ensure all timesheets are accurate and contractors do not go over annual allocated hours.
• Assist with travel and training coordination for program area.
