Minimum Qualifications REACHABLE FOR APPOINTMENT ON THE ASSISTANT OFFICE SERVICES MANAGER PROMOTIONAL LIST OR PERMANENT OR CONTINGENT PERMANENT STATUS AS AN ASSISTANT OFFICE SERVICES MANAGER OR ELIGIBLE TO TRANSFER.
Duties Description Under the direction of the Statewide Director of Administration and/or her designee the Assistant Office Services Manager will be part of the Facilities Team. The incumbent will be involved in Lease and Space Management functions which include, but are not limited to:
- Project management and Space Planning of approximately 30 NYS Attorney General (OAG) offices statewide. Projects range from small scale projects such as individual office moves to large scale projects with construction, renovation, and full staff office relocations, as well as lease compliance issues and emergency situations.
- Meet with program units to determine space requirements based on staff, furniture and special facilities. Develop floor plans, proposed block outs based on unit requirements, detailed layouts of the space, work with various contractors/vendors, prepare scope of work documents, analyze and prepare budget estimates, and coordinate work timelines. Conduct regular site visits to check on the progress of projects. Assist in the coordination of the physical relocation of OAG offices into new space.
- Assist in maintaining all CAD drawings of OAG space and become familiar with Archibus, the agency’s facilities management software.
- Assist in the OAG’s Health & Safety programs such as making ID cards, monitoring and providing access controls in the agency’s security systems, Tenant Safety Organization and the AED program.
- May be called upon to assist with facility emergencies after hours which may necessitate working after hours and weekends and travel on very short notice.
- Perform other duties and projects as assigned.
Additional Comments THE POSITION REQUIRES STRONG ORGANIZATIONAL SKILLS AS WELL AS THE ABILITY TO MANAGE MULTIPLE AND CHANGING PRIORITIES. STRONG INTERPERSONAL SKILLS ARE DESIRED AS THE POSITION IS EXPECTED TO HAVE FREQUENT WRITTEN AND ORAL COMMUNICATIONS WITH A WIDE VARIETY OF PEOPLE INCLUDING BUT NOT LIMITED TO EXECUTIVE AND MANAGEMENT STAFF, COWORKERS, VENDORS, AND OTHERS OUTSIDE THE AGENCY. KNOWLEDGE OF SPACE PLANNING, AutoCAD, AND PROJECT MANAGEMENT IS A PLUS.
