Minimum Qualifications Interested candidates must be reachable on the Office Assistant 3 (Calculations) eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible for a 70.1 transfer, candidates must have one year of permanent competitive service in a qualifying title allocated to a grade 12 or higher.
Duties Description Review and Process Travel Vouchers
o Review voucher submissions for accuracy
o Ensure that requested reimbursements are in compliance with travel policies
o Correct vouchers and communicate with travelers
o Ensure compliance with NY State travel Policy and enforce that policy with all levels of staff in the agency.
Payment Processing
o Assist with the Citibank Travel card reconciliation and payment
o Assist with the review and payment of the Citibank NET card
o Review Citibank Travel card monthly statement
o Assist with the entry and payment of Disability reimbursement vouchers
o Act as second level auditor when reviewing all travel transactions
Provide Assistance to Travelers
Description of Tasks Performed to Complete Activity:
o Answer travelers questions with regard to e-Travel
o Determine the nature of problem with a travelers voucher and take the appropriate actions to resolve the issue
o Provide training for all OSC travelers throughout the agency
o Assist travelers with the entry and submission of travel vouchers
o Answer questions regarding travel guidelines and procedures
e-Travel and Statewide Financial Systems (SFS)
o Assist with the daily review of the SFS bulkload files, and compare to ensure that all transactions were successful.
o Assist with correcting errors that occur during processing
o Respond to traveler inquiries for payment status of vouchers
General Duties
o Tracking third party travel reimbursements
o Tracking outstanding travel credits
o Assist with filing vouchers and purchase orders.
o Assist with retrieving files as requested by Internal Audit.
o Assist with end-of-year boxing of Finance Office documents.
Additional Comments Desired Competencies:
Hands-on experience with Excel and Word, and has the ability and experience to learn new computer applications.
