Minimum Qualifications One year of permanent competitive service as an Senior Administrative Assistant OR in a title G-21 or above deemed administrative under Section 52.6 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
Duties Description Under the direction of a Project Assistant, the Senior Administrative Assistant would be located in the newly formed Grants Reform Team, an initiative to streamline and simplify the awarding of state grants. The incumbent will be essential to supporting the growth and expansion of the Grants Gateway, the enterprise-wide software platform that will function as a single point of access for agencies and grant recipients.
Duties will include, but not be limited to:
• Supervises and provides day-to-day routine Grants Gateway functions.
• Manages staff and preforms tasks to ensure that Vendor Management activities, such as user registration, system access and account management are performed accurately and timely.
• Supervises registration of users for access to the Grants Gateway and Executive Order 38 systems.
• Responsible of Prequalification management; ensuring State agency Prequalification Specialists process nonprofit prequalification applications accurately and timely; this includes auditing State Agency prequalification decisions on an ongoing basis.
• Responsible for monitoring Helpdesk & Grant Reform Mailboxes; responding to phone calls, emails, and general inquiries; this includes supervision of staff to ensure to ensure prompt, thorough and accurate responses.
• Responsible for Developing and Coordinating Vendor Training; this includes development of written materials such as tips sheets and manuals as well as conducting webinars and classroom-based training.
• Maintain the Grants Reform website; this includes supervision of staff to ensure content remains current and accessible.
• Maintain the Grant Opportunity Portal; this includes supervision of staff to ensure information on available grant opportunities is comprehensive and accurate.
• Analyze, evaluate and develop specific recommendations to management for improved operational and program efficiency and effectiveness.
• Prepare and direct staff in the preparation of written procedures.
• Generate and evaluate statistical, performance and management reports.
• Additional duties to include, monitoring time and attendance patterns, conducting performance programs and evaluations and career and skills development.
Additional Comments This Office of Information Technology Services (ITS) position will be assigned to the Enterprise Business Solutions Division. Some positions may require fingerprinting.
