Minimum Qualifications Eligible for a lateral transfer or a 70.1 transfer by having one year of permanent competitive service in an appropriate title. Appropriate titles include but are not limited to:

Duties Description These Secretary 1 positions are located in the State Supplemental Nutrition Assistance Program (SNAP) Bureau and Employment and Advancement Services (EAS) Bureau, within the Center for Employment and Economic Supports. Duties of these positions will include, but not be limited to:
SNAP:
• Providing administrative support to the Bureau’s Director such as editing and proofing a large volume of correspondence; opening and distributing mail; receive and process Executive Correspondence (ECU) assignments from Deputy; monitor and assign emails, phone calls and other correspondence received from clients and social service districts and direct those calls and emails to the appropriate staff person;
• Answering Bureau Director’s phones, taking messages and directing calls accordingly;
• Assisting with the management of Bureau Director’s calendar and mail;
• Reviewing and tracking of incoming correspondence;
• Drafting responses where appropriate for Bureau Director’s signature;
• Maintaining directory of contacts for Bureau correspondence;
• Preparing mailings, including mail merges;
• Reviewing and tracking outgoing Bureau correspondence, including gold slips and other agency correspondence;
• Assisting with preparation of agency forms related to travel, personnel, budget requests, and clearance processes;
• Assisting with research background information as directed;
• Performing day to day tasks such as copying, mailing, distribution of material and completing routine forms.
EAS:
• Providing administrative support to the EAS Director and the three EAS Bureaus such as editing and proofing a large volume of correspondence; opening and distributing mail; receive and process Executive Correspondence (ECU) assignments from Deputy; respond to phone calls from clients and social services districts and direct those calls to the appropriate staff person or take messages; maintain correspondence files;
• Tracking and monitoring of EAS work, including assigned out task and items for Director's action;
• Performing day to day tasks such as copying, mailing, distribution of material and completing routine forms;
• Coordinating/arranging the scheduling of meetings including internal and external meetings, prepare draft travel voucher reports for staff;
• Providing data entry support for certain agency tracking and reporting functions using the agency Welfare Management System;
• Providing support for OTDA's Volunteer Income Tax Assistance (VITA) site including preparation and distribution of outreach materials.
