Minimum Qualifications Interested candidates must be reachable on the Office Assistant 3 (Calculations) eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.

To be eligible for a 70.1 transfer, candidates must have one year of permanent competitive service in a qualifying title allocated to a grade 12 or higher.

Duties Description • Perform routine processing activities, including checking reports for completeness and accuracy.
• Enter data into and retrieve information from computerized systems.
• Based on established guidelines, standards, procedures, laws, rules, and regulations, evaluate justice court monthly reports and, pursuant to that evaluation, code the distribution of collected revenues.
• As needed and as directed, contact external parties to obtain information to perform such tasks as coding monthly report distributions and processing report adjustments. Determine the appropriate course of action based on that information.
• Receive, screen, review, and verify documents.
• Verify accuracy of data from scanned documents.
• Perform calculations and computations using known and standard formulas and methods (primarily using computers and calculators).
• Communicate with various individuals to field questions, elicit and convey information, and resolve issues.
• Correspond with justices regarding timeliness of reporting.
• Verify data previously processed or entered to detect errors.
• Maintain, update, and correct records and files.
• Answer questions from justice courts regarding reporting questions and requirements. Refer inquiries as necessary.
• Acquire, retain and apply extensive justice court reporting knowledge to respond to customer inquiries.
• Serve as principal assistant to associate examiner responsible for overseeing processing of monthly justice reports.
• Perform office support and clerical work to meet the requirements of Justice Court Fund operations.
• Operate various communication systems such as telephones and computers, and keep records of such communications.
• Type, proofread, review, and correct correspondence, documents, records, and other written material. Make appropriate corrections for format, accuracy, and validity.
• Maintain files, correspondence, documents, and materials, pursuant to guidelines.
• Supervise staff including:
o Overseeing employees’ daily tasks.
o Preparing and delivering performance plans and evaluations to unit staff.
o Managing and approving staffs time usage while ensuring proper unit coverage.
• Establish and maintain effective working relationships with staff in other work units, in other divisions and agencies, and with the public.
• Identify appropriate training and professional development opportunities for staff.
• Participate in training and other activities to enhance skills relating to such areas as technology, data entry and analysis, office management and communication.
