Duties Description Under the supervision of a Senior Administrative Assistant, the incumbent of this position will perform administrative tasks for the Offices of the Operations & Asset Management Division. Duties will include, but not limited to, the following:
Personnel related functions
• Assist in the hiring process, which includes preparing job postings, canvassing lists, arranging interviews, and process appropriate paperwork;
• Handle the seasonal hiring of operators for the Office of Transportation Maintenance;
• Prepare status change forms for all other personnel transactions;
• Handle the Employee Suggestion Program for the Division;
• Assist with target/fill level tracking
Procurement related functions
• Assist Program Managers with preparing Attachments A and B;
• Assist Division staff with proper procurement procedures;
• Review and process purchase requisitions, purchase orders, change notices and payment vouchers using AS400 application;
• Confirm receipt of goods/services for voucher payments;
• Using the AS 400, confirm available PO balances for voucher payments
• Work with vendors to resolve issues
Assist with special assignments as necessary;
Responsibilities also may include participating within the Incident Command System to support the department’s response to regional and statewide emergency situations.
