Minimum Qualifications Open to NYS employees who are in a title designated appropriate for Section 70.1 transfer under Civil Service Law such as a Head Clerk, SG-17; OR Purchasing Agent, SG-18; OR Senior Administrative Analyst, SG-18; OR who have one year of permanent competitive service as an Assistant Office Services Manager at the G-18 level or above; OR who are eligible to transfer under Section 52.6 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.

Duties Description The Assistant Office Services Manager will report directly to the Associate Administrative Analyst and will be assigned to the Finance, Accounts Payable Unit within the Chief Administration Office. The incumbent will supervise other office support staff; oversee, manage, and assign the workload as appropriate; and will work with ITS managers, the vendor community and external agencies to process transactions for payment of services and equipment.
Duties will include, but are not limited to, the following:
• Respond to questions regarding payments both verbally and in writing to staff, ITS, external agencies, and the vendor community.
• Assist in the management of personnel and office support activities
• Submit and track on-boarding and off-boarding requests for unit.
• Analyze information to track and verify payments have been made.
• Work with IT developer to maintain and modify database system.
• Works directly with customers to research and resolve conflicts, problems, issues.
• Review and update training documents for unit.
• Review and approve payments in compliance with the terms of contract and purchase orders.
• Recommend organizational changes to assist in achieving work goals.
• Explore new applications or enhancements in technology to assist in carrying out responsibilities.
• Prepare weekly reports for management.
• Represent ITS Accounts Payable at various meetings.
• Perform a full range of supervisory duties.
