Preferred qualifications include: excellent telephone and organizational skills; strong computer skills; ability to accurately proofread; and leadership experience with a strong work ethic and interpersonal aptitude.
Duties Description • Provide technical assistance to Bureau on the recruitment process. Organize and maintain information on active recruitment for vacant items.
• Assist in the preparation of duties descriptions and justifications to support classification requests.
• Oversee all administrative tasks of recruitment for staff hiring, including scheduling interviews, correspondence, and communication with candidates.
• Collaborate with Bureau Management and Human Resources Management to administer hiring, orientation, employee relations, performance evaluations, and discipline.
• Review and make recommendations regarding equipment and space needs, telecommunication programs, and record keeping systems and controls.
• Manage procurement of supplies, services, and equipment for Bureau.
• Arrange all office moves, including coordinating and managing all office moves with Administration and Bureau attorneys.
• Manage and oversee central file room, copying needs of the Bureau, and distribution of mail.
• Assure that all Bureau equipment is properly installed and in working order and arrange for repairs.
• Ensure that new hires have a working phone, computer, and necessary rights and log-in information.
• Act as primary liaison with building manager.
• Prepare and update written procedures and policies. Provide technical assistance in implementing new or modified procedures.
• Conduct training of Bureau staff when implementing procedure changes.
• Recommend and implement changes to internal documents, organizational charts, etc.
• Analyze work problems and develop specific recommendations for management to improve operational efficiency and effectiveness.
• Respond to questions from Bureau management and staff regarding Bureau and Agency policies, rules, and regulations.
• Provide support with attorney programs or initiatives as requested.
• Prepare reports as requested. This includes interpreting requests to determine the appropriate response and designing reports to best communicate the data to the intended audience.
• Manage and organize Bureau case files.
• Prepare updated lists for Bureau-wide distribution of federal and state court rule books.
• Prepare monthly updated lists of Bureau telephone directory.
• Arrange meetings and teleconferences. Oversee cleanup of conference rooms after meetings.
• Work closely with Bureau Management regarding resolution of issues involving support staff or attorneys.
• Facilitate internal communications as needed.
• Interface with other Bureaus and/or agencies on an as needed basis.
• Oversee all support staff assigned to central area.
• Supervise staff work schedules, including lunch schedule, phone coverage, absences, and holiday coverage.
• Evaluate support staff training and development needs and identify resources to meet needs.
• Ensure timely preparation and filing of Bureau personnel reports, including probationary reports, performance programs, and performance evaluations.
• Perform other duties as assigned.
