Candidates must have either

1. Two years of satisfactory secretarial experience

OR

2. Satisfactory completion of a two-year course in secretarial science from a business school registered with NYS Education Department or from a NYS Community College or technical institute recognized by the NYS Education Department as following acceptable Educational practices

OR

3. A satisfactory combination of I and II above.

AND

4. Must pass a Civil Service typing exam at 35 words per minute with 96% accuracy rate.

Duties Description STANDARD DUTIES:

Provide confidential administrative support to executive-level staff or designee, while maintaining a high level of discretion in managing confidential and highly sensitive issues, matters and materials. The incumbent of this position may also provide administrative support for other Executive Suite staff as needed. Bi-lingual candidate fluent in both English and Spanish language will be preferred due to the large Spanish speaking population being served. The duties include, but are not limited to the following:

1. May act as a receptionist answering telephones, screening telephone calls, greeting visitors and referring callers and visitors to other DOL offices as appropriate.
a. Answer telephone inquiries in both English and Spanish from the public and refer callers to appropriate department officials.
b. Place telephone calls to and answer telephone calls from government officials, union representatives, and other individuals and organizations concerned with DOL.
2. Assist in maintaining calendar and meeting schedules as well as schedule meetings.
3. Receive, review, log and distribute mail.
4. Review incoming correspondence and refer requests for information to the appropriate managers within DOL and maintain a follow up system for tracking.
5. Type and review correspondence for accuracy, clarity and format, as directed.
6. Photocopy and prepare materials for correspondence, information summaries, reports, etc.
7. Draft correspondence and conduct research as required.
8. Establish and maintain paper and electronic filing systems.
9. Assist in the preparation of required reports, including weekly and monthly reports to the Governor’s office.
10. Work cooperatively with other Executive Suite administrative support staff to maintain adequate office coverage and facilitate the completion of special projects and assignments.
11. Establish and maintain an effective working relationship with other DOL offices and provide assistance as needed.
12. Complete other immediate administrative support requests as required.
